The Office of Student Affairs at Brody School of Medicine is seeking a University Program Associate-Contributing. The Academic Affairs Division supports the mission of the Brody School of Medicine by encouraging excellence and innovation in teaching, research/scholarship, student development and community engagement as we strive to prepare students for a lifetime of professional and community contributions in a culturally diverse world. BSOM’s faculty and staff include outstanding physicians and scientists all of whom are enthusiastically committed to providing BSOM’s students with a quality medical education. The mission of the Office of Student Affairs is to create a supportive environment in which medical students may develop personally and professionally, and to maintain records of students’ accomplishments toward their medical school requirements.

This position is the primary person responsible for event planning, student organizations, outreach, and special projects in the Office of Student Affairs including: student academic progress tracking.

Job Duties (summary):

  • Independently plan First Year events: White Coat Ceremony
  • Independently plan Senior Events: Check-Out Week, Match Day Ceremony, BSOM Convocation, ECU Commencement transportation, Senior Award’s Day Ceremony, and String of Pearls.
  • Work with Director and Associate Dean to plan, organize and execute orientations for each class (M1-M4) each year – identify possible roadblocks to planning and choose effective approaches to developing solutions.
  • Independently work with campus partners yearly to arrange for onboarding needs of incoming students and renewals for upperclassmen.
  • Serves as main point of contact/liaison with the Student Organizations Office on ECU’s main campus – communicate regularly with students to explain and interpret guidelines set forth by ECU’s Office of Student Activities and Organizations
  • Manage the Brody School of Medicine Office of Student Affairs social media presence
  • Service as primary office contact/liaison to the Office of Medical Education in regards to student academic summary reporting.
  • As a team member in the Office of Student Affairs: provide back up for the phones, triage calls to appropriate personnel, independently identifying and assessing various issues and problems
  • Understand all office related procedures and interpret policies/procedures set forth by the Deans and Director of Student Affairs regarding academic performance and tracking.
  • Communicate student absences with necessary stakeholders: course and clerkship directors, OSA Deans, Director and Academic Affairs partners
  • Maintain office listservs for course/clerkship directors and committees as pertinent for Promotion and Review processes

Minimum Education/Experience

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
