Inactive Outlook, SharePoint, and Teams environments will be disabled

What is happening?
Sometimes when employees leave the university or change roles in a department, inactive groups can accumulate. These groups need to be “cleaned up”.

In the upcoming months, ITCS will be implementing a new policy focusing on the cleanup of groups in:

  • Outlook
  • SharePoint
  • Teams

After 365 days of inactivity, groups will be disabled.

Why is this happening?
Inactive groups may pose a security threat. When they grow in number, they can also become unmanageable. For this reason, ITCS is identifying inactive groups that will be disabled.

Don’t panic, though – we will give you plenty of time to resume use of the groups if they are to remain active.

Actions required to retain Microsoft accounts – Automatic renewal of groups will occur under the following conditions:

  • Outlook: Join the group, read/write a group message from group space, “like” a message (in Outlook Web Access)
  • SharePoint: View, edit, download, move, share, or upload files
  • Teams: Visit a Teams channel

What notifications will you receive?

If groups are not automatically renewed, email notifications will be sent to the Microsoft 365 group owners 30 days, 15 days, and 1 day prior to  expiration of the group.

The owner of a group will be notified after the group has expired and will have 30 days to restore it.
